Previous Versions

Previous versions is a feature on network drive servers that you can use to restore or recover recently modified or deleted files. This allows Windows users to recover recently modified files on your own, without having to call for help. (Mac users will still need to call IT for assistance, as Previous Versions is not compatible with Macs.)

The server takes a snapshot of network share drive data every 6 hours by default. This allows customers to recover changes that they've made previously (or the complete file if it's deleted.)

Limitations

There are some limitations to be aware of.

  • When restoring a previous version of a file, customers can overwrite a known good file with a previous version. Be very careful!
  • This backup feature is only available on your network drive locations. This includes your personal and shared network drives (P, S, and R drives).
  • This is a PC-only feature. Customers that use a Mac will have to call their support team to have them do a restore via Previous Versions.

What do I do If I can't restore my file?

If the file cannot be recovered through Previous Versions, contact your support team and provide the following information:

  • Name of the file
  • Location of the file
  • Last known time that the file was working for you

With this information, the support team will do their best to locate the lost file for you. Always remember to back up important information.

How to Restore Files

Note: The following steps detail methods customers can use to recover deleted files or restore a previous version. If a top-level restricted folder was deleted, customers will need to contact the Service Desk to restore it. Note that restoring a restricted share can take a long time (several hours) depending on the amount of data.

Recovering a Deleted File or Folder

  1. Open the directory that the file was located in.
  2. Right-Click in the directory that the file or folder was stored and select Properties.
  3. Click on the Previous Versions tab.
  4. Select a snapshot that had the last known good copy of your file or directory.
  5. Click Open.
  6. A different window will open up displaying the contents at the moment of that snapshot.

    If you have multiple files or a folder, simply drag the files or folder to their correct locations

Restoring a previous version of a file (or folder)

  1. Open the directory that the file was located in.
  2. Right-Click on the File and Select Properties
  3. Click on the Previous Versions tab.
  4. Select a snapshot that had the last known good copy of your file or directory.
  5. Hit Open to open the old version of the file, or hit Restore to replace the new file with the old file.
